Buying Guide - Monochrome All-In-One Printers

Introduction

All-in-one printers come in both colour and monochrome (black and white) varieties, as well as in laser jet and inkjet formats. Their purpose is to provide several activities from a single unit. Three-in-one models generally provide for printing, scanning, and copying while the four-in-one models serve those three functions plus faxing. All-in-one printers come in a variety of sizes and weights and different models excel at different functions; some may be faster than others while others may produce higher quality but at lower speeds.

For copying and faxing purposes, an all-in-one printer can serve as a standalone machine; meaning that it is not necessary to have it connected to a computer in order to function. However, for scanning and printing purposes, at least one computer needs to be physically connected to the all-in-one.

For offices or homes with more than one computer, an all-in-one can be networked, allowing printing and scanning to be accomplished from multiple desktops and/or laptops. Networking can be performed wirelessly.

Advantages

While all-in-one printers, whether inkjet or all-in-one laser printers, most monochrome all-in-ones use laser technology, simply because the text and grey scale images created by a laser all-in-one are superior to those of an inkjet and can be produced at much greater speeds.

Some of the advantages of a monochrome laser all-in-one printer include:

• All-in-ones combine several functions into one, therefore taking up less space overall.

• Monochrome all-in-ones are popular and therefore, easy to find in a variety of price ranges.

• Monochrome printers are generally less costly to purchase and maintain than colour printers.

• Perfect for every day black and white printing, these units serve the bulk needs of any business or group that prints a lot of text-based documents and/or grey scale images.

• Despite the absence of colour prints monochrome all-in-ones can scan and copy (to computer) in colour.

• The quality of black and white (text) print that comes from a monochrome laser printer is far superior to that provided by an inkjet printer – providing text and visuals that are sharper, crisper, and more precise.

• Laser printers require less maintenance than inkjet devices, which means that the unit can provides years of high-quality documents with little effort on your part.

• Laser printer toner cartridges are cheaper based upon use. While a single cartridge itself may cost significantly more, the output on a single laser cartridge is in the 1000s – allowing a single cartridge to print what it would take multiple inkjet cartridges to do.

• Laser monochrome printers are fast; for high volume text document production, a laser monochrome printer cannot be beat.

Disadvantages

The disadvantages of a monochrome all-in-one laser printer include:

• The initial cost for a laser printer is usually much higher than for an inkjet printer or all-in-one – and virtually all monochrome all-in-ones are laser printers. (However, cheaper toner and general maintenance costs tend to make up for this over the long term.)

• Absence of colour printing. Obviously, one of the biggest drawbacks of a black and white printer is the inability to print in colour.

• Monochrome all-in-ones tend to be bigger machines; however, you are still getting the advantage of consolidating several bulky machines into one.

• While laser printers are generally cheaper to maintain, if they do break down, they are more expensive to repair.

Before Buying

Of course, price is going to be a factor; however, in addition to price, there are a few things to consider:

Number of functions: Monochrome all-in-ones come with three to four functions and the price increases accordingly, so you will need to determine whether you need the facsimile function or not. (As you decide, consider that many faxed documents can be scanned and sent via email.)

Size: Based upon the area where you intend to house your printer, size and weight can be a factor. Monochrome all-in-ones come in various sizes, with some of the smallest being in the range of 15 x 16 x 14 inches and weighing around 32 pounds.

Dots per inch (dpi): Just because you are printing in black and white does not mean the dots per inch is not a factor; especially when printing high-quality documents and grey scale images. Higher resolution printers cost more but may well be worth the extra investment, depending upon your purpose.

Internal memory: Internal memory tells you how much information your all-in-one can hold in its queue. This is especially important when several people are actively using a printer or when you need to print large volumes of documentation.

Print speed: ppm, or pages per minute, tell you how many pages your printer can handle. Monochrome laser printers can average from 20 ppm to 45 ppm, depending upon make model, and quality. There is usually a maximum duty cycle of pages per day or month. For businesses that engage in high volume printing – for instance, printing flyers, handouts, or labels, it is important to note both print speed and maximum duty cycles before purchasing.

Copy speeds and quantities: For high volume copy needs, it is important to consider how fast your monochrome all-in-one will reproduce copies and how many copies it can make in one setting. Some all-in-ones can handle up to 1000 pages at the same speeds as printing; however, others have lower volumes and copy speeds.

Scanning resolution and speed: As with the copy function, if scanning is an important part of your planned activities, then scanning resolutions and speeds should also be researched before deciding upon a monochrome all-in-one printer.

It is important to note that there are many all-in-one monochrome laser printers that are recognised for specific features. They will excel in that one area at a slight sacrifice in other areas. Therefore, before you select your printer, you should determine which features are most important to you, based upon your needs.

Selecting the Right One

As you peruse a selection of all-in-one monochrome printers, have a list either written down or firmly set in your mind. Answer these questions:

• What is your budget?

• Where do you plan to house your all-in-one? Consider whether it will be connected to a computer or computers (it will have to be near enough to the primary PC to physically connect with it). Is there a space limitation? Is there a weight limitation? (Be sure to factor in room for printer trays, print output shelves, and opening the unit for jams/repairs. The unit will need more space than it physically takes up.)

• What features are most important to you? Is it print resolution? Is it the ability to queue numerous documents or send bulk documents to the printer at one time? Do you need to make many copies? Will you be doing a lot of scanning? Do you need a fax machine as well as copier, scanner, and printer?

• How fast do you need your printer to be? Can you sacrifice speed for other features or is speed more important than say, optimal resolution?

By having all of these questions answered either on paper or at least in your mind, you can then begin your search for the perfect monochrome all-in-one printer.
