Buying Guide - Inkjet All-In-One Printers

Introduction

All-in-one printers provide three to four functions, depending upon their design. This includes printing, copying, scanning, and faxing, with faxing being the additional element found in a four-function unit.

Because all-in-one printers cover several functions, they are designed to perform every function well; typically, this means the quality can be less than that found in a standalone, dedicated single function machine. Whereas all-in-ones provide average to above average results, they cannot reach the superior quality levels capable in a high quality standalone machine. That being said, for most personal and business use, the quality of all-in ones is more than adequate. For many a Brother all-in-one, or Canon all-in-one printers are popular choices.

The primary advantage of an all-in-one over a series of standalone units is space. The primary disadvantage of an all-in-one unit is that more things can go wrong. If one part of the all-in-one fails, it can result in the need to replace the whole unit.

Laser or Inkjet

Because all-in-ones offer several functions in one package, before committing to purchase, you should determine 1) what the primary role of your all-in-one will be, 2) how much production time it will see, and 3) the quality of output you need.

• For personal and small office use where output is lower, inkjet all-in-one printers generally serve well. However, for high-volume production, a laser all-in-one is a better option.

• If your intention is primarily photo reproduction, photo inkjet all-in-one printers provide the highest quality results because they are specifically geared towards photography. However, to achieve this quality, the photo inkjet all-in-one sacrifices the ability to easily produce documentation in volume. Generally, with photo inkjet all-in-one printers, there is no feeder tray, so copying is performed one page at a time.

• Office inkjet all-in-one printers are suitable for office use and not geared to photography. These units tend to be lighter and less bulky than their laser counterparts and are therefore, more suited to the casual user who has little dedicated space to spare.

• Inkjet all-in-one printers are less expensive initially than their laser counterparts; however, because inkjet cartridges are more expensive to replace (based upon number of pages per cartridge), they can be more expensive over time if used more than casually.

• Whatever type of all-in-one you select, it is important to check production speeds, resolution (dots per inch) and total output capability.

How Inkjet Printing Works

Inkjet printers work by placing tiny little dots upon a sheet of paper or photo page. To the user, this means it produces results more slowly than a laser printer, which first uses its laser to score the images into the paper and then fill them with toner. Modern inkjet printers can produce amazing results, but with text, they are never quite as sharp as laser. In addition, inkjet produced documents will smear if they get wet; laser print is heat adhered and does not suffer that problem. Of course, it is up to you as to whether smearing when wet is an important factor or not.

Things to Look For

Function: What exactly does your all-in-one need to do? Three-function units provide copying, printing, and scanning at various levels of quality and quantity per minutes. Four function units provide everything a three function does, with the addition of fax capability.

Maximum Media Size: Depending upon your intentions for your inkjet all-in one, you may or may not need it to handle a variety of paper sizes. Almost all inkjet all-in-one printers will handle standard A4 paper; however, after that, it is strictly based upon the individual unit. If your needs require A3 or other sizes, you will need to select a unit that is capable of handling them.

Maximum dots per inch: For high quality results when producing photographs or images, the dots per inch the inkjet all-in-one can produce is important. This is for both printing and scanning. Resolution is determined by how many dots your all-in-one can place within an inch of space; the more dots, the higher the resolution. Most all-in-ones are designed to produce high resolutions these days. Even the lower end models can go up as high as 1200 by 4800. However, before you commit, be sure to check the maximum the all-in-one you are considering can provide.

Pages Per Minute: The output speed for printed pages is determined by the machine’s ppm, or pages per minute. This is the number of blank pages that can be completed in 60 seconds. The higher the ppm, the faster the machine. As a rule, inkjet all-in-one printers are slower than laser all-in-ones, so if high speed production is important, then you should stop reading now and head over to the laser buying guide for information.

System Requirements: Your inkjet all-in-one will need to be compatible with the computer you have (or computers, depending upon whether you intend to network or not). So, before committing, make sure that your computer and the all-in-one are compatible.

Networking Ability: If you intend to use the all-in-one as a networked unit (accessible from several computers), then you will need to check the networking capability. Generally, the all-in-one will need to be physically connected to at least one computer and then accessible to others via Wi-Fi.

Computer Interface: This determines how the inkjet all-in-one connects to the computer(s) it interacts with. Parallel ports can serve for small office needs; however, USB connections provide faster speeds. Fortunately, USB is becoming the standard for most inkjet all-in-one printers; still, it is important to check before committing to purchase.

Presence of Internal Memory: Internal memory, or RAM, must be present for an all-in-one to store information in a queue. The presence of RAM also allows the machine to function more efficiently and provide higher-quality output.

Media Capacity: Photo inkjet all-in-one printers typically do not have feeder trays; however, office inkjet all-in-one printers do. Check to see how many pages the trays will hold. This will determine if the inkjet unit you are considering has the capacity to handle the amount of production you require from it.

Type of Media: All inkjet all-in-one printers will handle basic, plain paper and some higher quality paper; however, if your intentions are to use other media, such as high-gloss photography paper or labels, you will need to ensure your unit can handle that type of media. Also, if you are considering a photo inkjet all-in-one, you may want to look for one that is capable of scanning film. This is especially important if you intend to convert negatives.

Monthly Duty Cycle: Every machine has a maximum amount of documentation it can produce before the wear and tear become too excessive and breakage is heightened. The maximum duty cycle will tell you exactly how much ‘abuse’ your unit can handle before it hits the danger zone.

Cost of Supplies: Inkjet cartridges are notoriously expensive; much higher than their laser counterparts are. In addition, some printer manufacturers make their money through the sales of cartridges – offering the all-in-one for a bargain and making up for it later. So, before you commit, take time to look at how much it will cost to keep your all-in-one running. In addition, check the availability of the cartridges it uses; obsolete or hard-to-find cartridges could result in one very expensive paperweight.

The inkjet all-in-one printer is a good choice for the casual user with minimum space but the need for several functions. Inkjet all-in-one printers come in several sizes and with varying capabilities, so before buying, use the information here to set your criteria.
